Department of Financial and Administrative Affairs

The Assistant Dean for Administrative and Financial Affairs oversees the operations of all administrative departments within the college. This role includes ensuring that all departments and units receive the necessary administrative and financial support, managing contracts and agreements, preparing financial and administrative reports and budgets, and submitting relevant recommendations to the Dean of the College.

• Managing general administrative and financial affairs within the college.
• Supervising administrative departments and units and ensuring the execution of contracts and agreements.
• Preparing financial and administrative reports and budgets, and submitting recommendations to the Dean.
• Supervising all college employees, including leave approvals, promotions, transfers, and performance evaluations.
• Overseeing general administrative services for faculty members and staff.
• Managing and maintaining college facilities, including: The college cafeteria, the student service library, the transportation unit, the college gardens.
• Ensuring the proper maintenance of college buildings.
• Supervising procurement processes, including recording, monitoring, storing, and distributing supplies in accordance with university policies.
• Coordinating with the university’s engineering office to develop architectural plans for college expansion.
• Identifying staffing needs and recommending new administrative hires.
• Chairing purchasing, tendering, and bidding committees and forming specialized committees when necessary.
• Providing quarterly and annual reports to the Dean on administrative and financial operations.
• Developing and coordinating strategic plans for the division in alignment with other college departments.
• Aligning policies and regulations with college objectives to improve administrative efficiency.

The Financial Affairs Division is the sole entity responsible for handling financial transactions and revenue collection at the college. The division’s key responsibilities include:

• Collecting student tuition fees.
• Managing additional revenue sources, such as tender fees, bids, library revenues, and printing fees.
• Handling all financial transactions, including incoming funds and outgoing payments.
• Applying centralized financial policies for income collection and payment processing.
• Preparing the college’s annual budget and coordinating with financial authorities at the university.
• Overseeing petty cash expenses and ensuring reimbursement procedures are followed.
• Providing financial reports to college administration to assist in decision-making.
• Delivering financial services to students and stakeholders in compliance with the college’s financial regulations.

• Supervising all maintenance operations within the college, including: Electrical and mechanical systems, elevators and building infrastructure, general repairs and minor construction projects.
• Addressing technical emergencies efficiently, ensuring 24/7 readiness.
• Maintaining and upgrading college facilities to support expansion and future growth.
• Ensuring security and safety for students, faculty, and college assets.
• Managing transportation services for faculty, staff, and students, ensuring smooth connectivity between different departments.
• Providing internal and external communication systems using advanced telecommunication networks.
• Overseeing cleanliness across all college buildings and outdoor areas.
• Managing venue preparation for lectures, conferences, and official college events.
• Landscaping and gardening, including planting seasonal flowers, maintaining green spaces, and supplying indoor plants for college offices and halls.
